You must update the Profile Attribute with a Close Date

The Close date can support a Date either M/D/YYYY or YYYY-M-D format.

You can choose to close a matter in NetDocuments by following this quick Video 

Once a Matter has been closed it will remain accessible and all documents will remain accessible. 

However, you will not be able to file any new content to the matter that been marked as closed. This means that no new emails or documents can be added to the Matter.

Emails or Documents saved to the matter will still be searchable by the matter and you will still be able to search for the matter itself.
